How to Plan Printing for an Exhibition in Dubai

Printing is easy to overlook when planning an exhibition. Most of the attention goes to the stand, displays, branding, visitor experience and logistics. But once the event starts, printed documents can become part of the daily operation.

Visitor forms, registration documents, invoices, quotations, product information, internal documents and last-minute requirements can all come up during an exhibition. If the printer stops working at the wrong time, even a small issue can become a problem for the team.

Planning the printing requirement before the event helps avoid that situation.

Start With What You Actually Need to Print

Before arranging a printer, make a list of what your team is likely to print during the exhibition.

This could include:

· Visitor registration forms

· Quotations and order documents

· Invoices and receipts

· Product sheets and technical documents

· Contracts and agreements

· Internal staff documents

· Event schedules and forms

· Last-minute colour or A3 documents

Estimate the Printing Volume

An exhibition may only run for a few days, but the printing requirement can be higher than expected.

Consider the number of exhibition days, staff at the stand, expected visitors and the type of documents being printed. A busy stand may need frequent printing throughout the day, while another exhibitor may only need occasional document printing.

It is better to estimate the requirement before the event rather than choosing a machine based only on its basic print speed.

Choose the Printer Based on the Event

A compact A4 printer may be enough for simple forms and documents. If the team needs scanning, copying or A3 printing, a multifunction printer may be more useful.

Colour requirements should also be considered. If your team expects to print presentations, proposals or customer documents during the event, colour output may be important.

For larger exhibitions, having more than one printer can also be considered, especially when several teams or areas need printing at the same time.

Plan for Toner, Paper and Other Supplies

Printer availability is only part of the planning.

Make sure there is enough paper and toner for the expected volume. For an event, it is also worth having additional supplies available rather than waiting until the printer runs out.

Using original toner is particularly important for temporary event setups where there may not be much time to deal with print-quality or compatibility issues.

Think About What Happens If the Printer Stops

This is one part of event planning that is easy to miss.

At a normal office, a printer problem may be inconvenient. At an exhibition, there may be a customer waiting for a document or a team member who needs something printed immediately.

For this reason, event organisers and exhibitors should consider the support available during the event. Ask who will respond if there is a technical issue, how quickly support can reach the venue and whether a backup machine is available.
